Everyone ordering their own stationery, their own way

There was no central place to hold or record stationery. Different areas of the business ordered independently, each to their own idea of what was needed, and the supplier ended up making repeated trips to deliver small, uncoordinated batches instead of one consolidated order. Nobody could say with any confidence what was actually in stock.

The fix wasn't a better order form - it was a single central record of what stationery exists, what's been used, and what needs reordering. The system built from that gives the whole business one place to check and manage stock, replacing multiple different informal habits with one shared process. It was delivered over the summer holidays and is now being rolled out.

Administration of stationery management is minimised, and it's now straightforward to see what's in the cupboard and what isn't.
